Planned Works Administrator (Permenant)


  • This is a busy decent homes project and relevant Administrator experience within the construction industry is preferred, ideally working on a Decent Homes / Planned Maintenance Site but would also consider candidates with other construction experience.
  • Provide comprehensive and proactive administrative and customer-focused support to both internal and external customers
  • Provide data entry to a high standard working within prescribed time constraints

Key Performance Area 1: Job specific undertakings

Key Standards or KPIs

  • Liaising with tenants and construction staff regarding construction works and tenant needs over the phone.
  • Working closely with Site Managers and Assistant Site Managers
  • Ensure access is achieved as planned in order to carry out the works.
  • Booking appointments for the site team
  • To deal with people issues in a positive manner
  • Establish an effective communications system,
  • Typing of letters, site reports, taking minutes, correspondence on word,
  • Organising diaries, collating timesheets, copy typing
  • Order stationary, photocopying, filing, send/receiving faxes.

Key Performance Area 2: Policy and procedure implementation

  • Provide administrative support to other members of the team
  • Assist in meeting deadlines
  • Handle and control the distribution of mail
  • Assist with the production of reports, correspondence and project work as required
  • Maintain effective record keeping, filing and information systems

  • Carry out duties acting as the initial point of contact for both internal and external enquiries
  • Develop collaborative working and build positive relationships with clients, customers and colleagues
  • Provide information to operational teams as required
  • Attend working groups and operational meetings as and when required

Key Performance Area 4: Service delivery and quality

Key Standards or KPIs

  • Maintain accuracy of information
  • Plan all work activities to achieve contractually specified timescales
  • Be mindful of your team performance weekly, monthly and annually against KPI targets and recommend action plans or ideas for any areas of weakness

Key Performance Area: Safety, Health and Environment (SHE)

  • Take a pro-active approach and reasonable care for the health and safety of themselves and others who may be affected by their activities at work, including occupants, visitors and members of the public
  • Report on any hazards or unsafe practices to their team leader
  • Act in a professional manner at all times
  • Ensure protective clothing and Health and Safety equipment provided is used correctly and when required, in accordance with risk assessments
  • Co-operate with health surveillance programmes
  • Maintain a working environment that is safe and without risk to health in accordance with the Kier Group Safety, Health and Environment management system ('KGSHEMS')

Other Responsibilities
