Our client, a leading legal advisory body based in the heart of the City, are recruiting for a Facilities Administartor to join their Facilities team on a permanent basis.
To ensure the London office runs smoothly on a daily basis.
To provide administration support in ensuring the smooth running of the office.
To provide support to ensure the office is health and safety compliant.
To work closely with the London based Property and Facilities team as required.
To work closely with office based staff as required.
To provide daily cover for the London receptionist when required.
To become established as the London point of contact for Facilities related matters and provide general facilities management services to the office on a daily basis
To manage works within the London office including the coordination of the PPM schedule and associated works.
To ensure that key contractors provide a professional service at all times, and to attend operational meetings when required. Produce necessary reports to aid in facilities related decision making.
To assist in providing up to date and relevant information/data including as a minimum:
Register of equipment
Helpdesk statistics for monitoring contractors.
Manage PPM schedule.
Manage contractor database.
Ensure that all PAT Registrations are completed
To ensure the daily operational effectiveness of the office, ensuring that:
Meeting Rooms are correctly established and offering a professional service at all times.
Kitchen areas are consistent in their establishment and dishwashers are routinely emptied throughout the day .
Office provisions are maintained at all times, and suitable stock is held at all times.
To administer the incoming and outgoing daily post and deliveries.
To ensure the office has necessary office provisions including; stationery and refreshments.
To provide assistance with the gathering of information in readiness for project related works as and when required.
To assist with the management of third party contractors as and when required.
To work alongside the Facilities Manager in dealing with planned and reactive works.
To assist with health and safety compliance across the office portfolio and remote workers; including:
Undertaking H&S inductions to new starters.
Coordinating H&S training for 1st aiders / fire wardens and maintaining relevant up to date records.
Assisting with the coordination of the PAT testing provision across the office portfolio and remote workers as required.
To assist with DSE coordination across the office portfolio and remote workers as required.
To assist in undertaking H&S audits as and when required.
Assist with the development of Health and Safety policies.
