Contracts Administrator – Permanent

Location - Leicester

Hours – Mon – Fri 8:30am – 17:00pm

Salary – Up to £27,500 per annum

I am currently recruiting for a Contracts Administrator to be based in Leicester University.

The role of the Contract Administrator is both wide and varied; and requires a “can do” attitude with flexibility and adaptability. Acting in a central function within the account, you will be responsible for workflow and general administration duties associated with Facilities Management for a Student Accommodation estate. The role requires the ability to work alone and as part of a diverse team. The successful candidate will perform multiple functions; excellent organisational and communication skills are paramount and will be vital in this complex role

What will you deliver?

  • Support the Account Manager with the day to day administration of the Facilities Management contract, including full administration of the Maximo 7.6 CAFM system
  • Liaise with Subcontractors for the booking and delivery of Planned Preventative Maintenance (PPM) tasks
  • Support works Supervisors with oversight and distribution of both Planned and Reactive Maintenance tasks to in-house engineers
  • Issue Permits to Work and Access tokens to subcontractors as required
  • Develop process flowcharts for all contract business processes
  • Raising & Receipting of Purchase Orders
  • Liaising with the University Helpdesk for coordinating both access to buildings and the delivery of works
  • Processing and inputting of employee data in HR Net for Sickness, Absence, Annual Leave and Overtime / Payroll
  • Support the wider contract with general administrative support as required

Experience required

  • Rounded educational background with direct experience in an administration role
  • Excellent IT skills with Microsoft applications, SAP & other in-house IT Management systems (Maximo, E-Vision, HR Net, etc)
  • Demonstrate good time management skills, working to deadlines and adhering to set procedures
  • Facilities Management (Hard Services) experience desirable
  • Experience in workflow administration would be advantageous
  • Experience in finance / commercial administration would be advantageous
