Asset Data Officer
Experienced Property Data Officer required to join a HA to be responsible for the collection, maintenance and utilisation of stock data in order to support the delivery of all asset management functions and activities across all work streams. This is to ensure the design, planning and delivery of all our programmes are in line with strategic objectives, business plans and regulatory requirements.
Have experience of using Northgate SAM/Codeman, including entering data, running reports, carry out administrative functions on the system, and exporting data.
Experience of Excel including data manipulation and presentation.
Knowledge of Stock Condition Surveys.
Experience of using Academy housing management system.
Take responsibility for the collection, accuracy and assurances for all Asset Management stock data.
Ensure the integrity within and across asset management systems. Maintaining efficient records for system monitoring, control and supporting the delivery of all asset management activities.
Managing the information held on Asset Management Database, currently Codeman. This will include maintaining records to ensure all plant asset information is accurate and accessible. It will include taking ownership and processing of stock condition survey data, component completions, paper survey information, and repairs data.
Maintain and update records in the asset management system to reflect new properties, disposals, and new information on a planned and ad-hoc basis
Ensure that the maintenance of the Asset Register is in line with the Regulator's requirements, and that data is validated, refined and updated on an ongoing basis, accurately maintained on the asset management system to ensure development of long term investment plans.
Being responsible for the reporting of Asset Management systems technical issues, including any databases and reporting tools, to the appropriate responsible person and manage colleagues in ICT to ensure resolution.
Generate information to allow sustainability and green initiatives to be delivered.
Including ensuring energy efficiency data is updated along with historic sustainability
data and appropriately recorded within the Asset Management Database or systems.
Work with Asset Management colleagues to support the option appraisal analysis of the
stock in order to support prioritization of investment needs and stock disposal
Instigating data reconciliations with Responsive Repairs systems and monthly audit
processes to support decision making on the long term viability of the stock in support of
the Asset Management Strategy and other related initiatives.
Generate information to allow strategic investment decisions and priorities through the
collection, collation and maintenance of technical information about the condition of the
stock, history of investment, repairs history and trends, the identification of business
drivers, and correlations and causations between these.
Set out 30 year and other repair cost forecasts for business planning purposes for the
whole stock and individual schemes/properties to support the LTFP review and other
Work with Asset Management colleagues to ensure effective programming and delivery
of the stock condition survey 5 year rolling programme.
Ensure accuracy of data and stock condition information through attention to detail in
data input and the monitoring of current data processes and procedures.
